Personalizing Free Printables Using Microsoft Word

You don't have to be a computer genius to learn a few tricks! Now that you are downloading free printables and having fun making your own cards, invitations, party decorations, and other fun craft projects, you can take the fun one step further---and learn how to personalize the printables using Microsoft Word! This easy-to-follow illustrated tutorial will guide you step-by-step, using screen shots of an actual computer screen, through the process of personalizing a free printable party invitation (courtesy of Mom's Break). Once you learn these basic steps, you can personalize almost any free printable!

You need to open a new Microsoft Word document. When you first open Microsoft Word, a new document will appear. If Word is already open, then click on the "new document" icon on the toolbar (it looks like a plain white, blank sheet of paper, on the left, on the toolbar row under the word "File").

 

Step 1.

Insert the free printable in the Word document:

  1. Click on "Insert" on the toolbar.

  2. Click on the word "Picture" in the drop-down menu (if Picture isn't visible, then click on the little down arrows at the bottom of the drop-down menu to reveal the entire menu).

  3. Click on "From file" in the second drop-down menu.

Step 2.

 

Find the free printable that you want to insert in the Word document.

If it is on your desktop, then click on the Desktop icon on the left-hand side of the pop-up window (it looks like a desk blotter).

If the free printable is in a folder elsewhere (such as in "My Documents"), then in the "Look in" field, go to that folder or other location on your computer. Click on the blue down arrow to the right of the "Look in" field, and click on the appropriate selection.

Find the free printable file name and click on it. This will highlight it in blue (as shown in the screen shot to the left). Then click on the "Open" button at the lower right of the pop-up window.

Step 3.

The free printable is now inserted in the Word document.

Step 4.

Save the document! Click on File, then Save As. Save this file to a folder or to your desktop. Give the file a name that you will recognize.

Step 5.

In order to personalize this printable, you will be using the "text box" feature.

Click on "Insert" on the toolbar, the select Text Box in the drop-down menu (if Text Box doesn't appear, then click on the down arrows at the bottom of the menu to reveal the entire menu).

Step 6.

Place the cursor about where you want the text box, and click. The text box will appear.

Don't worry about the size of the box at this time. You will learn how to adjust the size in another step.

Step 7.

In order to type in the text box, position the cursor anywhere in the text box and click. A blinking cursor will now appear in the box.

Start typing the personalization, such as party details, or other message.

Typing in a text box is just about the same as typing in a Word document. If you want a new line, then hit the Enter key. All of the features of word, such as font, font size, and font color work exactly the same in the text box.

Step 8.

You can make the text box longer, shorter, or wider.

Position the cursor along one of the sides of the text box. The cursor will turn into a double-sided arrow (either up and down, or side to side, depending on what side of the box the cursor is on).

Once you get the double-sided arrow, hold down the mouse button and drag the side of the box to the desired size.

Step 9.

If you want to move the text box around, you can do that, too!

Move the cursor around one of the sides of the box until the cursor turns into a four-sided arrow (almost like a "star").

Hold down the mouse and drag the box around until it is where you want it to be.

Step 10. Now, you can change the font (the way the letters look). Click in the box so that the cursor is at the beginning of the word (text) that you want to change. Hold down the mouse and drag it across all the text your want to change. This will "block highlight" the text.

Go to the toolbar and find the field where the font name is (probably Times New Roman will be showing). If you don't see the font field, then you will need to "expose" that part of the toolbar. This might be a little tricky if you've never done this before. Run the cursor over the toolbar very slowly, passing over all the icons. At some point, you should get a little pop-up that says "Toolbar Options." Click on that. You should see the font field in the drop-down menu. Click on it, and it will now appear on your regular toolbar.

Finding the font you want can be fun. Scroll through the box and look at all the fonts. When you see one you like, click on it. The text in your text box will automatically change to that font!

Step 11.

You can also change the font size!

Using a similar process to changing the font itself, look for the field on your toolbar that shows numbers (probably 12 will be showing). Remember, you might have to "reveal" this using the Toolbar Options drop-down menu.

Block highlight the text that you want to change. Select a font size number. The size of the text will change accordingly.

The larger the number, the bigger the size of the text. You may have to enlarge the text box for larger font sizes.

Step 12.

Now---change the color of the text!

Using a similar process to Step 10 and Step 11, block highlight the text that you want to have in a different color.

Look on your toolbar for a capital letter A. If you don't see it, then you will have to "reveal" it using that same process of clicking on the Toolbar Options down-arrows.

There is a small down arrow to the right of the A. Click on that to reveal the colors. Click on any color. The text will change to that color. (The letter A will also now be that color on the toolbar.) If you don't like the standard colors that you see in the box, then click on "More colors" in the color box.

Step 13.

That's it! You've personalized your free printable using Word!

Envelope Step 1.

Print as many blank envelopes as needed. You can print these on plain white computer paper. (A link to the free printable envelope is given below.)

Envelope Step 2.

Fold the envelope using the printed fold lines as a guide.

Use a glue stick to glue the envelope together.

Envelope Step 3.

Finish the envelope by folding the flap over the back and glue shut.

Envelope Step 4.

All that's left is addressing and mailing your invitations.
